Appointments linked to WooCommerce purchases can be managed directly from the order page.

Edit an appointment

Important

The Edit icon is only available for editable WooCommerce orders.

Depending on your WooCommerce configuration and payment workflow, some order statuses may lock the appointment fields.

This behavior is controlled by WooCommerce itself.

Common editable statuses

The Edit icon is usually available for statuses such as:

  • Pending payment
  • On hold
  • Processing

Common non-editable statuses

The Edit icon may not appear for statuses such as:

  • Completed
  • Cancelled
  • Refunded

If the icon is missing, try changing the order status to an editable status first.


Example

A customer books an appointment for:

  • Date: August 8, 2026
  • Time: 11:00

The customer later requests a different time.

You can:

  1. Open the WooCommerce order
  2. Click the Edit icon
  3. Change the appointment time
  4. Click the Save button

The previous appointment slot will become available again automatically.

Cancel an appointment

There are several ways to cancel an appointment, depending on what you need.

In all cases, availability is automatically updated after cancellation.

If availability does not refresh correctly, go to: Easy Scheduling > Tools > Initialize availability

Refund an Item

Use this method if you want to refund the customer while cancelling the appointment.

  1. Open the WooCommerce order
  2. Click Refund
  3. Select the quantity to refund
  4. Disable Restock refunded items
  5. Complete the refund

The exact refund process may vary depending on the payment gateway used on your website.

Important

Do not enable Restock refunded items.

WooCommerce stock management and Easy Schedule availability are managed separately. Restocking WooCommerce products may create incorrect availability.

Delete an Item

Use this method if you want to completely remove the appointment from the order.

  1. Open the WooCommerce order
  2. Hover the order item
  3. Click Delete item
  4. Save the order if necessary

The appointment will be removed and the corresponding availability will become available again automatically.

Cancel an Order

Use this method if the entire order should be cancelled.

  1. Open the WooCommerce order
  2. Change the order status to Cancelled
  3. Click Update

This removes all appointments linked to the order.

Note

Changing the order status to Cancelled does not automatically refund the customer.
